Accept a translation task
When you receive a translation task, you will receive a notification to your e-mail inbox.
This message contains the basic information about the translation task: project name, project ID, analysis, the project's deadline set by the Project Manager (PM), and the estimated task value.
After you logged-in to the Text United App, you need to go to the Inbox > Messages section in the left panel. Here you will see the same message. Open it and click Accept to start working on the task. You can also Reject the task by clicking the button.
A project manager who allocated the translation job to you will be notified by the system that you've accepted the task or rejected it.
Start working on a translation task
Next, navigate to the Inbox > Translation Jobs in the left panel. In this window you will see the translation jobs assigned to you. You can immediately start translating from here.
You can also view the project glossary, translation packages, instructions, shared folders, and a cost estimation.
Click on the "+" sign to the left of the project number to expand the view.
Click on the Reload View button on the ribbon. Find your translation task by checking the project ID from your mail.

You will see two main icons:
- the green book icon, which symbolizes the Glossary Package
- the brown package icon(s), which symbolizes the translation you should work on. Based on the number of words in a project, you may see more than one package. The system divides the translation into packages, and each package usually represents approximately one day of work.
Further down, you will find the Reference Files folder, the Instructions, and any other Shared Folders.
To start translating, simply double-click on the translation package or right-click and then select Open.
Translation editor overview
This is your work space for the translation job containing various tools and options to make your workflow easier.
- Ribbon - the ribbon contains options for editing, managing, and navigating through segments, tools, view, and a list shortcuts
- Translation Editor - here you will enter the translations for individual segments
- Translation Memory - proposals from translation memory are pulled from the TM database from previously translated segments. Translations for 100% identical source segments will be automatically placed in target segments. If a sentence is just similar (fuzzy match), you will see the match percentage compared to the segment you're currently translating.
- Terminology - terminology pane displays the approved terminology which should be used during translation, but it also shows terms which were not approved yet, or are even prohibited by a client. So, the translator and proofreader have to pay special attention to this part of the Editor.
A translator is able to add a new term to the project's terminology by clicking the green plus icon in the Terminology pane or by opening the whole glossary package.
The translation editor receives terminology proposals from two sources:
- The first source is the master terminology repository of a client. All terms from the previous projects had been collected in this repository and they are mostly checked and approved (or rejected) by the client.
- The second source is the project's glossary. This glossary contains only the terminology translated by the translator and/or proofreader during the current project. It is therefore (in many cases) not reviewed and confirmed by the client yet. In case a client nominates an in-country reviewer, he/she can approve/reject or edit terms in the glossary!
If a translation of a term in the glossary differs from the translation of the term in the terminology repository, the translator/proofreader should leave a comment and/or contact the project manager.

6. Spelling - from this menu you can choose a particular language or install a dictionary. If the desired language is not available you can import a dictionary .OXT file by using the External dictionary file option.
Translation Editor's ribbon
The ribbon in the translation editor is divided into 5 different categories. Starting from left to right, here are the short descriptions for each individual option, divided by tabs:
- Close package - close the current package
- Close All - close multiple open packages
- Undo - one step back
- Redo - you can redo something right after you undo it
- Copy - copy selection
- Paste - insert from clipboard
- Open - open the selected segment, this will make the segment available for editing
- Go To - navigate through segments: next, next undone, previous, previous undone, or enter a specific segment number
- Commit - commit current segment. Here you will have several more options to choose from:
Hint - remember that these comments have associated keyboard shortcuts!
- Save as Draft - saves your translation as a draft
- Cancel - cancel changes and close the segment
- Merge with Previous - Merge the content of a segment with the previous segment.
- Merge with Next - Merge the content of a segment with the next segment.
- Split - This will split a segment into two separate segments
- Concordance - Concordance search enables you to search the whole translation memory for a particular word, word sequence/phrase.
- Find and Replace - This will allow you to search for words or phrases in both source and target segments, show the context, and find words or phrases in the target segment, allowing you to replace the translation in one or multiple segments.
- Switch offline - switch to offline mode. Your translations will be saved to your local disc. Translation will be synced with the TU system as soon as you switch back online, or the next time you open the Text United App.
- Comments - add new comments or show summary of all comments
- History - show history of translation of a given segment or the whole package in a separate window. The translation history can be saved separately as a standalone document
- QA Report - this will generate a summary/report which will include warnings generated by the system. For instance: numeric mismatchs, double spaces, etc. but also translation consistency and terminology misuse issues.
- Fonts - change the font and size in the segments view and in the translation memory pane
- Show Pane - show/hide different panes
- Default Layout - switches back the view to default
Hint: Translation Editor's panes can be dragged on the screen and their sizes can be individually adopted. This feature is extremely helpful if you work on two monitors for instance!

To start translating simply double click on a segment, or click Open from the ribbon menu. Now you can enter the translation for the currently open segment. It will be highlighted and you will have several options available to edit the segment
- Cancel changes and close the segment
- Commit and open the next undone segment - clicking this icon, the translation will be saved on the server and the next undone segment will be opened. You can always come back to a saved segment and re-edit it if needed.
- Copy Source to Target - this button will copy the source text into your current open segment so you can edit it. This can be handy if you prefer to overwrite source text with translation and to copy the exact order of tags from the source to the target segment.
- Insert TM proposal - if there are already translated projects in Text United, all previous translations are stored in a database - the Translation Memory (TM). The translation memory will recognize identical or similar segments which were translated, and you can insert and edit them.
- Insert Next Tag - Insert a tag to the target segment. The tags are labeled with numbers and will be inserted in order, from first to last. They have to be in correct order matching the source segment. Check out this standalone article to see how to work with tags in the translation editor - both webapp editor, and in the desktop app.
- Add term - add a new term to the project's glossary
- Open segment's comment window - from here, you can add comments to the current segment or read existing comments for that segment
- Concordance search - Concordance search enables you to search the translation memory for a particular word, word sequence or phrase. Translation units containing the word or phrase are found and displayed in the Concordance Search window, where you can see how they have been translated previously. You can search both source language segments and target language segments. The part of the segment that corresponds to your search value is highlighted in green.
Through the search bar in the Segments editor, you will be able to search for words or phrases in segments, increase/decrease the font size, show hidden characters, and show the currently open segment.
From the drop down menu (default "All segments"), you can apply a filter that will show:
- All segments - by default
- Pre-translated - segments which were pre-translated from the translation memory
- Translated - displays all segments that have been translated, but not yet reviewed by a proofreader
- Proofread - displays all segments that have been translated and reviewed by a proofreader
- Repetitions - displays all the repeated segments (segments which have identical source text)
- With comments - displays all the segments that contain comments from either the translator, the proofreader, or the client
- With warnings - displays segments with warnings. There could be different warnings which appear if you confirmed a segment that contains potential errors (numeric mismatch, double spaces, incorrect order of tags, etc.)
- Accepted by the in-country reviewer - displays segments accepted by the in-country reviewer (usually the client himself)
- Rejected by the in-country reviewer - displays segments rejected by the in-country reviewer (usually the client himself)
